To Philmont 2007 Adult Advisors, Rick Loudin
Almost all the adult advisors attended the meeting held at Mary Yoders restaurant.
The meeting included-
Each crew adult advisor rep discussed their crews training in the past month. Crew #1 trained at Squires Castle in Willoughby Hills this past Sunday. Crew #2 took the month of November off because of high school football playoff conflicts. Crew #3 still needs to get all the participants together for their training.
- Discussion on getting Doug Rought to train in Wilderness First Aid and/ or CPR on Saturday, January 20 or February 10. Kent will confirm time, place and cost.
- Crew guidebooks, physical forms and information booklets were distributed to each crew adult advisor rep. A brief overview of all the contents took place with key information to be discussed to scouts at a future crew gathering.
- There is one opening in crew #3 for a scout participant. We are at the maximum for adults at this time. Crew #3 is going to look internally for possible replacements and if none surface, then we will put out an advertiser to the council.
- We discussed the future meetings and their themes-
December- NO MEETING
- January 31- Invite the scout participants to this meeting. Each crew will sit at their own table and go over their guide books, discuss possible treks and overall information gathering.
- February 28- Trek Choices- We will discuss treks and their popularity.
- March 28- Gear Demonstration- A quick demo of actual Philmont gear
- April- NO MEETING- Priority is the Scouting EXP07 that takes place two days later…
- May 30- Final preparation- Discuss last minute changes, confirm paperwork, etc
- June 10- Sunday meeting at Camp Stigwandish- Camp Staff to offer swimmers test This is the meeting where the parents are encouraged to attend and get all the final info.
- An item that was not mentioned, but is of utmost importance- Trek payment. Please remind your scouts that they should keep up with their payments for the Trek. Timely deposits to Philmont Ranch and the tour company need to be made by Council, so we need to be sure that monies are available for these deposits.

Information from the September 16, Crew/ Parent Meeting
- The meeting was held at Camp Chickagami in the pavilion. The meeting began promptly at 4:30 pm
- Introduction of Adult advisors. The following advisors were present-

- Confirmation of departure and return dates are as follows-
- Depart on Saturday, June 23
- Return on Saturday, July 7
- Airline information is confirmed and is as follows-
- Depart June 23, Cleveland Hopkins International Airport on Continental Flight 3277 at 8:50am EST
- Arrive at Albuquerque Sunport Airport at 10:20 am MST
- The aircraft is an Embraer RJ145. Total flight time is 3 hr 30 min, No meals provided and has very limited overhead storage
- Depart July 7, Albuquerque Sunport Airport on Continental Flight 3278 at 10:50am MST
- Arrive at Cleveland Hopkins International Airport at 4:02 pm
- The return aircraft is the same. Total flight time is 3 hr and 12 min. No meals provided

- Pre trek experience includes-
Blue Sky Adventures is our tour guide once we arrive in Albuquerque. They will pick us up at the airport and transport us to all necessary destinations.
- On June 24, we will be picked up, taken to lunch at Blakes Lotta Burger restaurant. Travel to the Manhattan Project, walking tour of old Town Albuquerque , travel a aerial cable car to Sandia Peak, hike to Stone Hut and views of Rio Grande Valley. Dinner with Southwest fare buffet. Stay at the Marriott Pyramid hotel in Albuquerque.
- On June 24, we eat a buffet breakfast, visit Bandolier National Monument and view Indian ruins in Frijoles canyon. Box lunch at the park. A white water rafting trip on the Rio Grande, dinner with American fare buffet, stay at the Marriott Pyramid hotel
- On June 25, buffet breakfast and then a 3 hour bus trip to Philmont Scout Ranch.
- After or Philmont experience, the bus will pick us up and transport to Albuquerque Sunport Airport for or return flight
- Trek Logo designs were discussed and voted on by the scouts.
- We discussed the Trek fee and payment schedule as follows-
- Official total for the Trek is set at $1480 per person, which includes, Philmont fee, airline fee, tour guide company fee, T shirts and contingency fee
- Scouts and adults should be making monthly payments so we may make all of our pre trek deposits as they become due.
- Deadline for total payment is set for May 15.
- We discussed in detail the individual gear list. This list will be posted on the GWRC website under the Boy Scout icon and located on the Philmont page
- Discussion of our spring contingent shakedown was covered and three possible dates were provided. Crew members and crew adults should decide within the next three weeks which weekend is best. Once we decide on the chosen weekend, we will announce it as soon as possible as this is an important benchmark for a successful Trek preparation. The three weekend dates are as follows-
- May 18-20
- May 25, 27
- June 1-3
- Other items covered include-
- Adult leaders should be trained for CPR and Wilderness First Aid. At least one and preferably two per crew are required to carry training. Scouts while not required, are highly encouraged to take this important training.
- Official Philmont physical forms will be delivered to the contingent leader sometime in October. This physical is different than the standard summer camp physical and must be completely filled out by a doctor. Emphasis on height to weight ratio and safe blood pressure levels are key to passing the Philmont pre trek physical held the day before the trek.
- Each crew will decide on which trek they are interested. Trek choices will become available in March so the crews should plan early on which trek they are interested so the forms can be sent back to Philmont immediately.
- Along with trek choices, each crew will receive an Itinerary and Advisors guide, the 2007 Guidebook to Adventure, a Philmont map, insurance pamphlet, a tour permit application, a crew roster and talent release form.
- Trek confirmations should arrive a week after the forms are received at Philmont.
- It has been confirmed that the maximum amount of adults per crew is four, with the crew having a majority of youth.
